Welcome to Project Service Automation: Setting Up Resources in Microsoft Dynamics CRM. This video will go over the steps to setting up resources in the project service automation solution that you should complete right away. If you have not yet installed the PSA solution, check out the one-minute Installing the PSA trial solution video, available on the Success Portal. This video will cover the following setup tasks: • Add resource skills • Set up proficiency models • Add and configure resource roles • Add resources • Create a work hours template • Apply a calendar to a resource • Set project parameters The times listed on this screen are the times within the video that each section begins, in case you wish to skip to a specific section. Add Resource Skills To add resource skills, click the menu icon along the top of the page, then choose the Project Service tile. Within the Settings section, click Resource Skills. Click New along the top of the page. Enter a name for the skill in the name field, and update any other fields as desired. Click Save, or Save & Close. Please note that skills are automatically activated upon creation; if you do not want a skill to be available for use yet, click the skill name to return to the skill record, and click Deactivate along the top of the page. You can reactivate in the same way when it's time to make the skill available for use. Set Up Proficiency Models To set up proficiency models, click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Proficiency models. You'll see the Default Rating Model appears here. You can click the name of the proficiency model to view or edit, or, to create a new proficiency model, click New. Enter the desired model name in the Name field. If desired, select a different owner; it will have autopopulated your name. In the Minimum Rating Value field, enter the desired lowest rating value. Keep in mind that lower ratings are worse, higher ratings are better. In the Maximum Rating Value field, enter the desired highest rating value. Choose a ratable entity from the list, if desired. Remember that you can only create one proficiency model for each ratable entity. Click Save. In the Rating Values section, click the plus sign to add a rating value. Name the value, verify that the owner is correct, enter the numerical value that goes with the name, then choose yes or no for the Is Default field. Click Save & Close. Repeat this process until all desired rating values have been added. Click the Save icon in the lower right corner of the screen. Add and Configure Resource Roles To add resource roles, click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Resource Roles. Click New along the top of the page. Enter the desired resource role Name, then click Save. Click the plus sign for the Skills section to add a new skill for that role. Click the magnifying glass for the Skill field, then choose the desired skill from the list. Choose the required skill proficiency, then click Save. Repeat this process to add as many skills as the role needs. Add Resources To add resources, click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Resources. Click New along the top of the page. Choose the desired resource type, then choose the associated contact; if it's a new contact, click New to create. Enter the resource name in the Name field. Click Save. Now, you can add skills and roles for the resource. To do so, click the plus sign for Resource Skills, click the magnifying glass for Characteristic and choose the desired skill from the list that appears. Click the magnifying glass for rating value and choose the desired value from the list that appears. Click Save & Close. Repeat these steps to add a resource role. Click the Save icon in the lower right corner of the screen. Associate Skills with Resources Click Resources along the top of the page. Click to open the desired resource. Within the Skills section, click the plus sign to add a new skill to that resource. Choose the desired skill within the Characteristics field by clicking the magnifying glass and selecting the skill from the list. Choose the resource's rating value for that skill by clicking the magnifying glass and choosing the desired rating value. Click Save & Close. Repeat this process until all desired skills have been added to the resource. Create a Work Hours Template Click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Work Hours Templates. Click New along the top of the page. Enter the desired work hours template name, then choose the resource to base the template off of. Click Save. Apply a Calendar to a Resource Click the down arrow next to Project Service along the top of the screen, then within the Resources section, click Resources. Hover over the desired resource, and click the light gray check mark that appears to the left of the resource name to select it. Then click Set Calendar along the top of the page. Choose the desired work template from the dropdown list, then click Apply. Click OK in the window that appears. Set Project Parameters Click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Parameters. Click the name of the parameter you'd like to configure, then change any desired options, including adding price lists. Click Save when finished. That's it for this video on setting up resources. Repeat this process until all desired skills have been added to the resource. Create a Work Hours Template Click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Work Hours Templates. Click New along the top of the page. Enter the desired work hours template name, then choose the resource to base the template off of. Click Save. Apply a Calendar to a Resource Click the down arrow next to Project Service along the top of the screen, then within the Resources section, click Resources. Hover over the desired resource, and click the light gray check mark that appears to the left of the resource name to select it. Then click Set Calendar along the top of the page. Choose the desired work template from the dropdown list, then click Apply. Click OK in the window that appears. Set Project Parameters Click the down arrow next to Project Service along the top of the screen, then within the Settings section, click Parameters.
