Microsoft Dynamics CRM Online 2011 helps to increase productivity by providing tools that can be customized and tailored to match your personal preferences. This video will show you how to personalize your experience in CRM Online by organizing frequently used records.
Let's start by clicking the Recently Viewed folder icon to bring up a list of items we have been working with recently. (The "Recently viewed pages and views" icon is always visible above the navigation pane in the main screen next to the home page icon. It looks like a folder with a star in front of it. To open the menu, click the icon or press Ctrl+Shift+7.) Here you can see a list of records on the left, and views on the right. In CRM Online, the number of necessary clicks has been reduced, so we can access our data quicker.
If there is a record we consider particularly relevant or useful, we can "pin" it so that it is always at the top of the list and can be accessed quickly. To do this, simply click the pin icon to the right of the label. The same can be done with frequently accessed views. (To unpin any pinned item, click the pin icon again.)
We can also access recently visited records through the left-hand navigation pane. (The "Shortcut Menu for Views and Records" is available for most navigation pane items. Click the small arrow next to the navigation pane item to open the menu.)
Tip: It is not necessary to click the navigation pane item first before opening the shortcut menu next to it. Use this to speed up page loads with non-default views. For example, if you're in Accounts and you want to switch to Contacts and view the non-default "Inactive Contacts" view, instead of clicking Contacts, waiting for the default "My Active Contacts" view to load, and then choosing a different view, just open the shortcut menu for Contacts and choose the view you want directly.
Let's open an opportunity record to take a look at some new ways of navigating through our data in order to easily access related information.
By clicking on this dropdown menu, we can see other opportunities. (The "Select from list" control is available in every entity record, in the top right corner, below the ribbon. It always takes the plural name for the current entity, in this case "Opportunities" and has a small arrow next to it pointing down. To open the menu, click the text or the arrow, or press Ctrl+Shift+2.) This allows us to jump to one of those other opportunities directly, without needing to close this record.
By clicking the up and down arrows, we can view the next record in the list. (The "Previous Record" and "Next Record" controls are also in the top right corner and can be activated using the keyboard shortcuts Ctrl+< and Ctrl+>.)
