Microsoft Dynamics CRM Online 2011 provides users with a powerful set of customizable data analysis tools for creating personalized views and reports. This makes it easier for users to sort through and make sense of their data.
A view is a filtered list of records of the same entity, for example, a list of all Opportunities that I own. This video covers creating a new personal view.
(Navigate to Sales > Opportunities. The view menu is above list and below the ribbon. It always shows the name of the current view proceeded by the name of the entity being viewed, in this case "Opportunities: My Open Opportunities".)
By clicking on this dropdown menu, we can see a number of default views. (To open the drop-down menu, click the name of the current view or the arrow to the right of it.) However, in CRM 2011 we can create a personalized view highlighting the data that is most important to us. Let's create a personalized report showing all of our opportunities that are equal to or over $10,000.
To create our custom view, we'll start by using the Advanced Find capability to define our search. (Click Create Personal View at the bottom of the open view menu or by clicking New Personal View in the View tab of the ribbon.) For this report, we'll select Est. Revenue. (Select a field of the opportunity entity to query against by clicking Select and selecting the field from the drop-down list, in this case Est. Revenue.) Next, we'll specify our values. (Choose the operator by clicking Equals and replacing it with Is Greater Than or Equal To from the drop-down list, then click Enter Value and type in "10,000".)
By clicking the Results button on the ribbon, we can preview our results and ensure that we have the information we are looking for. We can further personalize the information we see in this view by clicking Edit Columns.
(The Edit Columns dialog opens.) When we click Add Columns, we are presented with a list of the other columns that can be added to our personalized view. Let's select Pipeline Phase. (Note that these columns represent the attributes or fields of the entity we're viewing, in this case Opportunities. Entities often have many fields, while views typically display only a few pertinent columns. You can display as many columns as you want. Click OK after selecting the columns.)
Now that we've finished, we'll save our work as a custom view. (Click Save in the Advanced Find tab of the ribbon. You will be prompted to enter a name for the view if you haven't already. Enter "My Opportunities greater than $10,000" and click OK.)
Now, let's see how things look when we open our list of Open Opportunities. Under My Views, we see the view we just created, entitled "My Opportunities greater than $10,000".
