In Microsoft Dynamics CRM, Your personal calendar is a great tool for visualizing and organizing your work schedule. In the tutorial, “Creating an Appointment”, we demonstrated how to schedule an Appointment from the Calendar in the Workplace module.
In this lesson, we’ll discuss the basics of navigating the Calendar, and how to configure its default view.
I begin in the Workplace module. In order to access my Calendar, I need to add the Tools area to my Workplace. Simply click File > Options and the Set Personal Options dialog opens. Click the Workplace tab, and check the Tools box, then click the OK button.
I can now open my Calendar from the Workplace module. By default, I am presented with the Day Calendar View, where I can see any scheduled events I have for the day in hourly increments. In the right pane, I see a monthly calendar, a list of Calendar Views, and buttons to create Appointments or Service Activities.
To jump to a different day, I click its date in the calendar on the right. Notice that there is no way to differentiate between dates that have items scheduled from dates that do not. I have to click each individual date to see if something is scheduled that day.
If I click the Week View, I am presented with a list of scheduled events for the selected week, separated by day. This is a great way to get a general sense of how busy each day is going to be. I created an Appointment to show you how it would appear in this View. I can click it to open its record and read the event details.
Notice that in the monthly calendar on the right, the selected week is highlighted in blue. This tells me which dates I am viewing. I can select other weeks to view them as well.
The third Calendar View is Month. This allows me to widen my scope and look further ahead to what I have scheduled. This View can get cluttered if I have a lot of items scheduled for a single day. Again, notice the calendar on the right. All of the days of the month are highlighted in blue because I am viewing all of these dates at once.
Let’s say that I find the weekly view to be best suited for my needs. Just like how I can select a default View for entities like Accounts and Contacts, I can select one here too.
I navigate to File > Options. The Set Personal Options dialog opens. I click the Activities tab, where I find a field called “Default Calendar”. In this dropdown, I select “Week”, and then click the OK button.
The dialog closes, and when I navigate back to the Calendar, I see that Week is the default View.
