Checking Available Storage Space

In the Success Portal, we’ve discussed maintaining your Microsoft Dynamics CRM organization by clearing disk space. “Auditing Tips,” “Auto-Delete Completed Workflow Jobs,” and “Bulk-Delete Workflow Jobs,” are a few lessons that cover this very topic, but how do you know when it’s time to clean house?
In this lesson I will demonstrate two very simple ways to check your organization’s storage limit. This task requires a Security Role of System Administrator or equivalent privileges.
The first place to check is the Resources In Use page. To get there, I navigate to Settings > System > Administration, and then click Resources In Use. Here, I can see my organization name and URL name, along with my storage limit, custom entities limit, and processes limit. From time to time, I can easily check here to see how much storage my organization has available. This is a demo environment, so you can see that I have plenty of room since it only contains limited sample data.
Another place I can check to see if I’m approaching max capacity is the System Notifications page. To get there, I navigate to Settings > System > Administration, and then click System Notifications. I currently have no notifications. However, there are two kinds of storage notifications that can be found here: Storage Limit Reached and Storage Limit Exceeded.
Both of these locations can inform you of your organization’s approach to storage capacity. If you find yourself approaching that threshold, please watch the lessons mentioned earlier for tips on how to clear disk space.
