Constant Contact Integration
The marketing module is an out-of-the-box module in Microsoft Dynamics CRM Online 2011 that, among many things, allows you to create and manage marketing campaigns. As you may be well aware, e-mail marketing is a necessity for the modern business.
CRM Online offers basic e-mail marketing capabilities that will help you begin a successful marketing campaign, but a company like Constant Contact specializes in customizable e-mail marketing plans, online surveys, and event marketing tools.
Constant Contact offers a number of features that can’t be found in out-of-the-box deployments of CRM Online. This is why xRM.com has created an integration between the two solutions. This way, you can leverage the capabilities of CRM Online along with Constant Contact.
The integration allows you to export marketing lists from your CRM Online system into Constant Contact. This function is very easy to use, so we’ll walk through the steps now.
Once you log in to CRM Online, navigate to the Marketing Module, and then click on Marketing Lists in the left navigation pane.
From there, identify which list or lists you want to synchronize with your Constant Contact account. It is important to note that because Constant Contact does not have the ability to create dynamic lists, only static lists in CRM Online can be synced.
Notice that when I click on the corresponding box of the list I want to synchronize, the ribbon presents me with a list of relevant commands. We have access to the same commands when we open the list as well.
Now, to synchronize, simply click the Constant Contact button in the ribbon. This button has been created by xRM.com and must be ordered before it will appear in your CRM Online system.
We are then prompted to verify that our list is set and activated. To do so, navigate to this dropdown menu that is labeled “Status”, and then select Active.Â Now click Update.
You will then get this notification. (“The marketing list has been updated.”) Click Ok.
And now the marketing list has been synchronized and will appear in your Constant Contact account. Synchronization can take up to 15 minutes to complete, so your marketing list may not appear in Constant Contact right away.
Before we finish, there are a couple of important things to note. First, CRM Online is the system of record for synchronized marketing lists. This means that if you want to make changes to your marketing that will be applied to both CRM Online and Constant Contact, you must do so from CRM Online. For example, if you add a contact to the list in Constant Contact, it will not appear in CRM Online.
Synchronizations occur automatically every 15 minutes. So if you make a change to the marketing list in CRM Online, within 15 minutes, the list will be updated in Constant Contact as well.
However, there is one change that if made in Constant Contact, will be applied to CRM Online as well. If a member of a marketing list unsubscribes to a Constant Contact campaign e-mail, that member will automatically be removed from the bulk e-mail list in CRM Online.
(Open any Contact record. For example, by double clicking it in your marketing list view.)
Notice here, that by opening a contact record, and then scrolling to the Contact Methods section, we can see if this person is willing to receive bulk e-mails. If this member unsubscribes to marketing e-mails through Constant Contact, the Bulk E-mail flag will be changed to Do Not Allow.
Another thing, when you order Constant Contact Integration, nothing needs to be installed on your company servers. There is a solution that needs to be imported, which is part of the setup fee.
