Creating a Quick Campaign
In Microsoft Dynamics CRM Online 2011, you can plan and track your marketing efforts with Campaigns. However, there may be times when you simply want to distribute Activities of a single type to an impromptu list without the extra overhead and tracking involved in a full Campaign.
For example, say you want to send out a sales announcement via E-mail to the hot Leads in your CRM Online system; a Quick Campaign may be your best option.
A Quick Campaign in a simplified version of a Campaign that allows you to distribute Activities of a single type to a group of Accounts, Contacts, or Leads, or to a Marketing List.
In this tutorial, we will create a Quick Campaign to track follow-up Tasks for a group of Leads.
We begin in the Marketing module, and click Leads. We'll identify a few Lead records that we want to include in this Quick Campaign by checking the boxes next to their names.
Now we'll click the Add tab of the ribbon, and then click Quick Campaign in the Marketing group. Then in the menu, we'll choose For Selected Records. This opens the Create Quick Campaign Wizard.
The first page of the wizard outlines the steps we are about to take. Click Next> to continue.
The next page of the wizard asks us to enter a name for the Quick Campaign. In the Name field, let's enter "Our First Lead Quick Campaign". Now click Next>.
Now we need to choose an Activity type and a User to whom the resulting Activities should be assigned. First, let's identify the Activity type by clicking Phone Call. Now we must assign the Activity. Say we were the head of our marketing team; we could assign this Activity to the owners of each lead record by selecting The owners of the records that are included in the Quick Campaign. Or we could individually identify another User or even a team to assign this Task to by selecting Assign to another user or team. But we'll follow up the tasks ourselves and leave Me selected. Click Next> to move on to the next page.
Here, we enter the content for the activity chosen in the previous page. Since we chose Phone Call, we are presented with the Phone Call form. In the Subject field, we'll enter "Follow-up call on leads.". In the Due field, we'll identify the date we want to finish these calls. Now we'll click Next>.
The final page of the wizard summarizes the choices made in the previous page. Everything seems to check out, so we'll click Create to complete the Quick Campaign.
After completion, we can view our new Quick Campaign by clicking Quick Campaigns in the Marketing module. We can click the Quick Campaign by name to open the Quick Campaign record and view the details.
Also, since we assigned these Activities to ourselves, we can find them in the My Activities view in Activities under My Work in the Workplace module. We might not see the Activities right away because CRM Online creates the new records asynchronously in the background after we run the wizard. CRM Online has to process the creation of these Activities and assign them. So if you create a couple hundred Phone Calls, it's going to be a few minutes before you see your newly created Activities here.
With Quick Campaigns in CRM Online, you can quickly distribute Activities to ad-hoc lists of Accounts, Leads, Contacts, or to a Marketing List.
