Dynamic Marketing Lists
In this video, we're going to walk through the steps of creating a dynamic marketing list in Microsoft Dynamics CRM 2011. Dynamic marketing lists, a new addition to CRM Online, allow users to set a list of criteria in order to identify the recipients. As new contacts, accounts, or leads enter our database, CRM Online will automatically add new recipients that qualify for this marketing list, based on the criteria set by the user.
To create a dynamic marketing list, we click on the Sales module, click on Marketing Lists in the left navigation pane, and then click the New button located in the ribbon.
(The Marketing List New window opens.)
In this example, I'm creating a list for a monthly newsletter, so let's give it a name. (We type "Monthly Newsletter" into the required Name field.)
Then we choose a Member Type. For this demonstration, I'll choose Contact. (Use the drop down menu in the Member Type field to choose the "Contact" entity.) Next we decide if the list is Static or Dynamic. Static lists will not change unless the user makes changes themselves, but we want to create a list that will include new Contacts as they are added to our system, so we'll select Dynamic. (Click the Dynamic radio button of the Type field. Click Save in the ribbon. The rest of the ribbon icons become active and the Marketing List window refreshes with the saved name "Monthly Newsletter".)
Now we want to add members, so we'll click Manage Members located in the ribbon.
(The Manage Members dialog opens. The controls will be familiar to anyone who has already performed an Advanced Find.)
Here is where we identify our key criteria (used to select members for the dynamic marketing list). This can be anything you want to define. As you can see in this dropdown menu, we have a plethora of options. In this example, we want to reach as many contacts as possible, so we'll send this newsletter to all contacts with an e-mail address.
(To set up the criterion, click Select and select the "E-mail" field of the Contact entity from the drop-down list. Choose the operator by clicking Equals and substituting it with Contains Data from the drop-down list.)
Once we've determined the criteria for this list, we'll click Use Query. (The Manage Members dialog closes, returning us to the Marketing List Monthly Newsletter window.)
One last this to note before we finish, is the Copy to Static functionality. If at any time you want to make a copy of the members in this dynamic list, you can click the Copy to Static button located in the ribbon. This does not change your dynamic list to a static one. Instead, it takes the values within your dynamic marketing list, and makes a copy as a static list that you can use going forward.
