E-mailing a Link
In CRM Online, you can e-mail someone a link to a specific record or View. This comes in handy if you need to show a fellow User a record or View quickly and easily. If the recipient has a Security Role with the required privileges to view the record or View, they can simply click on the link and see what you've shared with them.
Please note that the e-mail message is sent from your default e-mail account and e-mail application on your computer, rather than from your CRM Online user account using CRM Online.
In this tutorial, we will e-mail someone a link to a sample Contact record, e-mail someone a link to a View, and walk through how to copy a link.
This task requires privileges that are found in all default Security Roles. However, if the User receiving the e-mail does not have a Security Role that contains the necessary privileges to view the record or View, they will receive an error.
We begin by navigating to Workplace > Customers > Contacts.
Let's select a Contact, such as "Corey Dillon (sample)". In the ribbon, open the E-mail a Link dropdown menu.
We want to e-mail a link of this Contact record only, so let's click Of Selected Items.
My default e-mail account on this computer is my personal Windows Live account, and my default e-mail application is Outlook. Since I have clicked Of Selected Items, CRM Online copies the link to the record and pastes it in an outgoing Outlook message. CRM Online has also filled in the Subject: field.
We would need to indicate the recipient of the message in the To: field before clicking Send, but let's close this draft without sending it and return to CRM Online.
Now, let's say we wanted to send someone a link to a View. Bring up the View, and then open the E-mail a Link dropdown menu again, but this time, click Of Current View.
An Outlook e-mail message opens with a populated Subject: field, and a labeled link to the View.
One last thing, you can paste the link into another application or e-mail account yourself. Simply select a record or navigate to a View, as we just did, and open the Copy a Link dropdown menu. You can select Of Selected Items or Of Current View, just as we could with E-mail a Link. You can then paste the link into another application by pressing (Ctrl+V) on your keyboard.
