Importing Sample User Accounts
Hi, and welcome to the Success Portal by xRM.com.
This tutorial refers to another video in the Portal called “Adding Multiple Users with a Bulk Import”.
In Microsoft Office 365, you can use the Bulk Add Users wizard to upload a comma-separated values, or CSV, file to import multiple User accounts. In order to do this however, the file source must follow the proper format. Rather than searching for the format guidelines yourself, you can download a blank CSV file template from Office 365 that already meets the necessary standards.
If you want to practice the bulk import process, or wish to add sample User accounts to familiarize yourself with the software, you can download a sample CSV file that contains five sample User accounts.
In this tutorial video, we will download both the blank CSV file template and the sample CSV file containing sample Users. We will then import the sample CSV file into Office 365.
This task requires a Security Role of Global Administrator, User Management Administrator, or equivalent privileges.
We begin in the Admin page of Microsoft Online Services. In the left pane, navigate to Management > Users.
Once we arrive at the Users page, click New and then select “Bulk add”. This starts the Bulk add users wizard.
The first step is Select file. This is where we would identify the source file if we were importing a CSV file containing new User accounts. But let’s say we tried importing the file and there was an error because it didn’t meet the proper specifications. We can download a blank, properly formatted CSV file template and enter the information.
To do this, click the “Download a blank CSV file” link, and then open the file. The document opens in Microsoft Excel, and we can see the 16 column headers that represent different fields. Note that only the User Name and Display Name fields are required.
Let’s close the document without saving, thus taking us back to the Select file step of the wizard. Let’s say that we want to see what a properly formatted file containing sample data looks like. Or maybe we want to import sample Users into Office 365 to familiarize ourselves with the procedure. To do this, click Download a sample CSV file, and then open it.
A document called “Import_User_Sample_en” opens in Excel containing five sample User accounts. Before we can save and close this document, notice the User Name column. This file won’t be imported correctly because none of the domain names are real, nor do they match that of our company. Once we have changed the domains, we want to import these sample Users. So we’ll save the file, I’ll name it “Sample User Accounts”, and then close the document.
Back at the Select file step of the Bulk add users wizard, we’ll select the sample we just saved by clicking the Browse… button. Now, we’ll progress through the wizard to complete the import process. We have reached the final step of the wizard and see that five User accounts have been successfully imported. Click the Close button.
We now see our five new sample User accounts listed as active Users.
We have reviewed the proper specifications a source file must meet for a successful import, and we have imported five new sample User accounts.
