When you add a new User to CRM Online, you can send them an invitation immediately or do so later. Once that person accepts the invitation, they can sign in to CRM Online and begin using the application.
In this tutorial, we'll send an invitation to a new User that has already been created. We'll also check the View called User Invitation Status to see if our invitation has been accepted.
This task requires a Security Role of System Administrator or equivalent privileges.
We begin by navigating to Settings > System > Administration, and then click Users.
Locate the User record for the person you wish to invite. In this case, we'll use the sample User record "xRM Salesman". This is a User I've already created but have yet to invite.
Let's open the User record, "xRM Salesman".
When the User record opens, click Send Invitation in the ribbon.
The Microsoft Dynamics CRM Online dialog opens. Click OK to send the invitation and close the dialog.
Now, let's verify that our invitation was sent and see if it has been accepted. Close the xRM Salesman User record. Let's bring up the User Invitation Status View. This View shows us all Users and their Invitation Status.
Let's locate "xRM Salesman". Notice that in the Invitation Status column it says "Invited". This means that our invitation was sent but has yet to be accepted. Once it is, the status will change to "Invitation Accepted". Also, if we have created a User, but have yet to send the invitation, the status will read, "Invitation Not Sent".
Note that once an invitation is sent, the invited person has two weeks to accept the invitation before it expires. Once an invitation expires though, its Invitation Status remains as "Invited".
That's how we invite Users to CRM Online.
