Modifying a Public View
Hi, and welcome the Success Portal by xRM.com.
In CRM Online, Users can create Personal Views, which are available only to their creator and those with whom it is shared. However, the need may arise when the System Administrator must create or modify a Public View, which is available to all Users.
In this tutorial, we will modify a Public View called “Won Opportunities” by adding an additional column to it.
This task requires a Security Role of System Administrator or System Customizer, or equivalent privileges.
We begin by navigating to Settings > Customization > Customizations, and then clicking Customize the System.
The Solution: Default Solution window opens. Since we’re modifying a View in the Opportunity entity, let’s navigate to Components > Entities > Opportunity > Views.
We now see a list of available Public Views for this entity. The Default Public View, the one that appears automatically when you navigate to the entity in the Sales module, is noted by a yellow star. Notice the toolbar. If we wanted to create a new Public View, we would click New.
However, we’re modifying an existing View, so let’s double-click “Won Opportunities”.
The View form opens. Here, we can add, remove, and move columns. We can edit the filter criteria and check the properties of the View. Let’s add an “Owner” column, so we can see who owns the record from the View. Click Add Columns in the Common Tasks pane.
The Add Columns dialog opens. Scroll down the list of Display Names, select “Owner”, and click the OK button. The dialog closes.
Now, scroll to the right until you see the Owner column enclosed in green. Let’s say we want to move the column next to the Topic column. In the Common Tasks pane, click the green arrow pointing left. The selected column moves one space to the left. Keep clicking the arrow until it is next to the Topic column.
Now, we have modified the View to our liking, so let’s click Save and Close, which closes the window.
Before we can verify that the modifications have been made, we must click Publish All Customizations. Once CRM Online finishes publishing, we can close the Solution: Default Solution window.
Now, let’s navigate to Sales > Opportunities, and select the View, “Won Opportunities”.
We now see the Owner column has been added and is in its proper place.
That’s how you modify Public Views in CRM Online.
