In Microsoft Dynamic CRM, there a many subtle and useful features that are easy to overlook. In this lesson, we’ll discuss the Properties Dialog Box and its benefits.
The Properties Dialog Box is a display of the information regarding an open record and your permissions regarding it. It contains information such as who created the record, when it was created, and when it was last modified. It also lists the possible permissions a User can have regarding the record, and which ones the active User actually has.
To access the Properties Dialog Box, simply click File in the ribbon, and select Properties. If you are working with the new forms, you must first switch to the classic version. You can then open the record’s Properties.
A window opens, and you can see a Details and a Permissions section. Let’s start with the Details section. By displaying information like who owns the record and who last modified it, this section allows you the flexibility to hide or remove fields like Owner, Created On, and Modify from a form. This could help clean a cluttered form, yet retain the data available for Users.
The Permissions section is particularly useful. Let’s say I’m a new User, but I don’t know what my exact permissions are for my assigned Security Role. Maybe I work with Lead records often, but don’t know what I am allowed to do with the records. Rather than navigating to the Security Roles area in the Settings module and trying to find the prevalent information, or trying to figure it out through trial and error, I can come here. This way if I need a certain permission that I don’t have, I know exactly what to request when I contact my system admin.
