In Microsoft Dynamics CRM, Reports can be viewable on the organizational level or individual level. To configure this setting, navigate to Workplace > My Work > Reports. Select the Report you want to configure without opening it, and then click Edit in the ribbon.
When the Report form opens, click the Administration tab. From this tab, Reports can be assigned a new Owner, and their visibility can be configured.
Let’s take a moment to clarify what each option means, starting with “Individual”. Setting a Report to viewable by the Individual makes its visibility subject to each User’s access privileges and the Report’s owner. For example, if a User has their Report read privilege set to “Parent: Child Business Units”, they will have access to all reports that are visible to the organization, along with Reports whose visibility is set to “Individual” and the owner of the Report is in their Business Unit. They will also be able to see any Reports shared with them.
Setting a Report to be viewable by the “Organization” means that all Users can see it. This doesn’t just apply to Reports that are owned by the system. Even if the Report is owned by an individual User or Team, as long as it is viewable by the organization, it is available to all Users.
To adjust the read privilege of a Security Role, navigate to Settings > System > Administration, and then click Security Roles. Open a Security Role. When the Security Role form opens, click the Core Records tab and scroll down to Report. The Read privilege is the second column from the left. Use the Key as a guide to determine what how to set the privilege. If you want Reports to be only visible by their Owner and whomever the Report is shared with, set the privilege to User.
When you’re done configuring, click Save and Close and Dynamics CRM updates the Security Role.
