Role Tailored Forms
In this video, we're going to learn how to create role tailored forms in Microsoft Dynamics CRM Online 2011. This functionality allows System Administrators to determine what information is most important to specific users in their organization.
We start by navigating to the Settings Module, clicking on Customizations in the left navigation pane, and clicking on Customize the System.
(The Solution: Default Solution window opens.)
In this example, we're going to customize the Accounts form. To do this, we'll expand the Entities tab on the left, then navigate to Accounts, and then click on Forms.
We're going to configure the Main form, but notice that we also have the ability to configure the Mobile form type, for Mobile Express.
(Open the Main form by clicking Information in its Name column in the list. The Solution window refreshes with the form editor active the central pane.)
So we're going to configure the form so that it presents contextual information to our marketing team when they open an Account form. This does not remove, or displace data, but merely presents specific user types with information most relevant to them.
Let's drag and drop an Account Rating from the Field Explorer pane on the right and place it on the form. Also, let's remove some of the clutter for our marketing team by getting rid of the Shipping Method information. We do this by clicking on the field, and then clicking Remove, located in the ribbon.
Now that we've made the necessary adjustments to the form, we need to save our work. We'll click Save As at the top of the ribbon, then label our form, and then we'll click OK.

Now it's time to assign our form to a specific security role by clicking the Assign Security Roles button located in the ribbon.
(The Assign Security Roles dialog opens, listing the security roles present on our system.)
We have the option to select multiple security roles if we choose. But let's designate this only to Marketing Professionals. Then click OK. (The Assign Security Roles dialog closes and we return to the Solution window with the form editor.)
Now we click Save and Close. (The Solution window refreshes, closing the form editor and once more showing the list of Forms for the Account entity.) As you can see, our new role tailored form is listed right here, and we still have our Main form that we used as the base for our Marketing Account form. So now when Marketing Professionals in our CRM Online system log in to check an account, they are presented with the information we've just configured. Other users in different security roles will still see the information presented in the Main form.
Our final step is to click Accounts in the left navigation pane, and then click Publish All Customizations. (Note: Publish All Customizations publishes any and all outstanding customizations waiting in the system including the ones you just made. If you are not the only one making customizations, it would be safer to publish only the new form you created by opening the form again and clicking Publish in the ribbon of the new form.)
