Setting Personal Email Options

Hi, and welcome to the Success Portal by XRM. This lesson is designed to demonstrate setting personal email options in Microsoft Dynamics CRM. One really important way to personalize Microsoft Dynamics CRM is by setting up your email preferences. This video will cover selecting the email messages to track, as well as automatically creating records. To set your email preferences, begin by clicking the Settings icon in the upper right corner of any screen within Microsoft Dynamics CRM, then choosing Options. Navigate to the Email tab. The first section allows you to choose whether or not other users can send email on your behalf. Keep in mind that if you select this option, users will be able to send emails, with or without your knowledge, that display you as the sender. Next, choose which email messages you’d like to be tracked in Microsoft Dynamics CRM. By default, this is set to track email messages in response to CRM email. However, you can choose to instead track all email messages, messages from CRM Leads, Contacts or Accounts, or email messages from CRM records that are email enabled. What this means is that, say you select to track email messages from CRM Leads, Contacts, and Accounts, every email received from those email addresses will be tracked in CRM. This can help automate your recordkeeping, but, if you choose to track all email messages, for example, can also become cumbersome. Be sure to evaluate which emails it will really be useful to have automatically tracked in CRM. Finally, you can choose whether or not to automatically create records in Microsoft Dynamics CRM for contacts or leads from every email you receive. This means that, if you select to create contacts from the sender or organizer of tracked email messages and meetings, every time you receive an email, a contact will be created in Microsoft Dynamics CRM. This could, potentially, result in excessive numbers of empty contacts, or contacts whose only information is an email address. Again, this is something that should be considered and monitored carefully, but could be very useful, depending on your needs. When I’ve finished setting my personal email options, I’ll click OK.
