System Settings, General Tab
Hi, and welcome to the xRM.com CRM Success Portal.
Understanding the CRM Online System Settings is helpful whether or not you are the System Administrator or System Customizer of CRM Online. This way you can modify CRM Online to your liking, or you can contact your System Administrator or System Customizer to request changes.
In this tutorial video, we demonstrate how to navigate to the System Settings and explain the various options available to us in the General tab.
This task requires a Security Role of System Administrator or System Customizer, or equivalent privileges.
We begin by navigating to Settings > System > Administration, and then click System Settings. The System Settings dialog then opens.
Click the General tab. This is where you can make modifications to System Settings categorized as General in CRM Online. Let's go over each option.
In the Select the display option for Get Started panes section, we can choose whether or not we want to display the Get Started pane for the users in CRM Online. If we choose Yes, the Get Started pane appears automatically when Users sign in to CRM Online. Each User can choose to turn off the Get Started pane in their Personal Options if they want. If we choose No, the Get Started pane will not appear for any User, and they do not have the option to turn it on. Let's choose Yes, thus giving our Users the option to turn it off if they want.
Under Set the IM presence option, we choose whether instant messaging will display the presence status for Users, Contacts, Opportunities, or Leads. Basically, this is integration with Microsoft Lync. If the IM presence option on, we can initiate communication via IM, phone calls, and e-mails through the presence icon. Let's select Yes.
Under Set the full-name format, we can select the order in which we want the names in CRM Online to be displayed. Click the arrow in the Name Format field. As you can see, we have eight options. We'll select First Name Last Name.
Under Set the currency precision that is used for pricing throughout the system, we can choose how many decimal points we want to use for currency. We'll enter "2".
Under Set whether reassigned records are shared with the original owner, we can decide whether or not a record that is reassigned is shared with the original owner (User or Team) of the record, or owned only by the new User or Team. Let's select No. This means if "Jack" reassigns a Lead record to himself that was previously owned by "Jill", she will no longer have ownership over that Lead record.
Under Set blocked file extensions for attachments, we can prevent Users from attaching files with specific file name extensions. If you attempt to attach a file with a blocked extension to a Note or E-mail message, you'll get an error notification.
Under Set the currency display option, we can select how we want currency to be displayed. We can choose between Currency symbol and Currency code. In terms of the United States dollar, Currency symbol means a dollar sign ($) will appear next to amounts of money, while Currency code means "USD" will appear next to dollar amounts. We'll leave Currency symbol selected.
To save our changes and close the dialog, click OK.
