Updating Closed Records

Dynamic Marketing Lists are a useful feature in CRM Online. They allow you to continuously update your Marketing List automatically. “Membership” of a Dynamic Marketing List works differently than a Static one though.
Dynamic Marketing Lists do not store the “membership” of the list like a Static Marketing Lists does. Basically, there is no stored association for records in the list. Dynamic Marketing Lists are essentially saved Advanced Find Views, and the records’ membership is not created until the marketing list is used in a campaign, not before. This makes it impossible to see Dynamic Marketing List membership in an advanced find or report.
This makes it impossible for Users to create Views based on a record’s association with a Dynamic Marketing List. Luckily, there is a trick: create a View based on the same parameters used in the Dynamic Marketing list.
For example, if you have a Dynamic Marketing List that contains Lead from the state of California, simply create a View based on the exact same criteria. That way, the View will always match your Dynamic Marketing List.
Creating a new View using Advanced Find
- Click Advanced Find in the ribbon
- In the Look for field, select the record type. In the Use Saved View, select [new]
- Set the criteria and then click Results in the ribbon to verify that you are happy with the set criteria
- In the ribbon, click Save As
- A Query Properties window opens. Enter a Name and Description and then click OK
