Hi, and welcome to the Success Portal by xRM.com.
In Microsoft Dynamics CRM, an important task of an administrator is making sure that Users have the necessary access to records and actions for them to do their job effectively. Every now and again, you may have to do a User audit to see which Users have which Security Roles. But going through each User record and verifying their Security Roles can be time-consuming, especially if your organization has a large number of Users. Thankfully, there is a default administrative Report that presents all Users and their Security Role.
In this lesson, we’ll show you how to run the Report, and what you can do with it. This task requires a Security Role with administrative privileges.
Run the User Summary Report
- Navigate to Workplace > My Work > Reports.
- Click User Summary
- Set the filter criteria if necessary. You can leave it blank to view all Users in your organization.
- Click Run Report.
Once the Report runs, Users are grouped by Business Unit. The columns on the right side of the results display each Security Role that is assigned to a User in your organization. Each column with a dot indicates that the User has that Security Role.
The User Summary Report is great for giving you a general overview of Users and their roles. So if you need to delegate a task, but are unsure of which Users can carry it out for you, this Report would be extremely helpful. It’s also important to note that this Report does not display Security Roles assigned to Teams.
