There are four major steps that lead to a successful deployment of CRM. They are, at a high level, Education, Analysis, Customization and Deployment.
At a more detailed level, we begin with education. It's critical that the people who are contemplating the use of a customer relationship management system educate themselves as to what the platform can achieve. This is important because people are often limited by what they do not know.
The next step is what we call strategic analysis. This begins requirements gathering. However it happens, each business unit must weigh in with what they need from a CRM. Those requirements should be written down and categorized. Then, a fit-gap analysis should take place, which reveals the gaps in functionality between what the product deliveries and what the business requires. What may occur as a result of this analysis is a prioritization of requirements based on complexity or timing.
The next step is to plan and strategize the customizations. The “what” is simply the result of the fit gap analysis, meaning precisely which customizations must be completed. The “who” is an interesting question. You are watching a video that is part of what we call the Success Portal, which consists of over 300 videos, all directed toward self-help. So it is absolutely possible that internal resources may be able to achieve most of the heavy lifting around the customizations of the product. On the other hand, sometimes it is considered more cost effective to use the help of experts. In our experience, we have found that it is usually a combination of the two.
Once the planning is complete, then it is time to execute the customizations.
Finally, deployment. Deployment usually consists of data migration, and training. For data migration, sometimes it is a simple matter of several spreadsheets that must be imported. Other times, it is more complex. More often than not, a deployment includes some form of data migration. Training must be conducted for any potential users of Dynamics CRM. Once the training is complete, the system can go live.
