Creating A Dynamic Marketing List

Hi, and welcome to the Success Portal by XRM. This lesson is designed to demonstrate how to create a dynamic marketing list in Microsoft Dynamics CRM.
It is important to know the difference between a static marketing list and a dynamic marketing list. While a static marketing list stays the same, unless manually altered, a dynamic marketing list updates itself automatically, as data within CRM changes. For example, if you have a dynamic marketing list set up to send a weekly email to leads, and a lead becomes a client, that client will not continue to receive the emails sent to individuals on that dynamic marketing list.
To create a new dynamic marketing list, once you are logged in to Microsoft Dynamics CRM, click the menu icon, then choose Sales, and click Marketing Lists within the Marketing column. Then click New.
On the page that appears, first, you’ll enter the basic information for this list. Click the text box for Name, and name the list. Today, I’ll create a marketing list for the monthly newsletter for clients in Tennessee. Next, click to change the list type from Static to Dynamic, since we want this list to automatically update as information enters and leaves the system. I want to send the newsletter to all of my contacts in Tennessee, so in the field for Targeted At, I’ll choose Contact. I’ll leave myself as the owner. Once I’ve filled in the four required fields denoted by the red asterisk, I’ll click Save.
Once you’ve saved your marketing list, you are able to filter list members. Click the plus icon to add filters. Here, you can see that it’s already set to look for contacts, since we set that when we created the list. Next, I’ll click Select, and choose Address 1: State/Province, I’ll leave it set to Equals, and I’ll enter TN in the Enter Text section. I’ll click Use Query, and you’ll see that now, my contacts located in Tennessee have been pulled in as members of the Monthly Newsletter (Tennessee) dynamic marketing list. At any point in time, you can click the Copy to Static button within a dynamic marketing list, then click Save, and a copy of the list will be saved as a static list, with the members who were on the dynamic marketing list at the time you copied it. Please note that your dynamic list will not be altered in any way by copying to a static list.
