Creating a Personal View

Hi, and welcome to the Success Portal by XRM. This lesson is designed to demonstrate how to create a personal view in Microsoft Dynamics CRM. Microsoft Dynamics CRM provides a powerful and customizable set of data analysis tools that make it easy for users to create personalized views and reports, and sort through lots of data. It is important to note that system views are different than personal views. While personal views are visible only to the creator and those that they are shared with, system views are visible to all users and can only be created or modified by system administrators. To create a personal view, begin by logging in to Microsoft Dynamics CRM. From the homepage, click the menu icon, then navigate to the entity for which you’d like to create a personal view. Please note that you can create a personal view for everything from accounts to opportunities to queues. Today, I’ll show you how to create a personal view for opportunities, but the same process applies to all entities within Microsoft Dynamics CRM. I’m going to navigate to Sales, and choose Opportunities within the Sales column. Next, I’ll click on the dropdown list of views, and select Create Personal View. In the window that appears, you’ll be in the Advanced Find tab. You’ll see that the find is set to look for Opportunities, so you just need to choose which opportunities items you want the view to display. Click the blue Select link, and choose the desired field you’d like your view to filter by. For today, I’ll choose Actual Revenue. I want this view to display active opportunities worth more than $10,000, so I’ll choose Actual Revenue, then Is Greater Than, and enter 10,000.00. I’ll click OK. If this is the only criteria I want to filter by, next I’ll click the Results button along the top of the window. Please note that you are able to filter by multiple criteria in your view. To do so, simply repeat the process we just walked through until all the desired criteria are listed. When you’re finished adding the desired filters for the view, click Save, enter a title for your view, and a description if you wish. Click Save. Click the X in the upper right corner of the window to return to the Opportunities page. Now, when I click on the dropdown list of views, I can see a new section, titled My Views, and within this section, I can click on the title of the view I just created to see my customized list of opportunities. You can easily export your customized list to Excel, simply by clicking the Export to Excel button along the top of the screen. The list will automatically be downloaded, as you can see here.
