Creating an Activity

Hi, and welcome to the Success Portal by XRM. This lesson is designed to demonstrate how to create activities in Microsoft Dynamics CRM.
An activity is really any interaction you have with a lead, contact, or account. In Microsoft Dynamics CRM, you can track phone calls, tasks, emails and appointments as activities.
To create a new activity, once you’ve opened up the lead, contact, or account, click the Activities tab, then choose the type of activity you wish to add.
As you can see here, Add Phone Call and Add Task are immediately visible. To add an email or an appointment, simply click the ellipses and choose which one you’d like to add. To add a phone call, click Add Phone Call, and add the details of the call. Describe the call, choose who participated in the call, select if it was an outgoing or incoming call, and, check the box if a voicemail was left. Click OK when finished. This activity will now appear at the top of the Activities list.
To add a task, click Add Task, and add the details just like you did to add a phone call. You’ll notice that the fields are slightly different. In addition to a description, you’ll need to enter a subject and deadline information for the task, choose if it is of low, normal, or high priority, and choose the task owner before clicking OK. Again, you’ll see the new activity at the top of the Activities list.
To add an email, click the ellipses, then Email. Choose who the email is from, as well as its recipients, enter a subject for the email, and then type the actual email content. Once you’ve entered the email information, click Save. You will then be able to add attachments if you wish by clicking the plus sign next to Attachments. Please note that the email will not be sent until you click Send. Clicking Save does not send your email. Click Close Email to signify that the email has been completed or canceled.
To add an appointment, click the ellipses, then Appointment. Add all required and optional attendees, enter a subject, choose a start and end time, then choose Save. Again, you will be able to add attachments after saving the appointment by clicking the plus sign that appears. Be sure to save again before closing the appointment. After creating an activity, you can view details quickly by clicking the icon to expand the activity in the list. You can also click the “Open this activity” icon to open the activity and view all details. In the Activity list, you can also mark activities as completed, without even opening them. Simply click COMPLETE next to the open icon.
